The Victorian Scout Heritage Centre has grown significantly in the
last couple of years and is in desperate need for volunteers. Past
and present members of Scouting including the Scout Fellowship and
Badon Powell Guild can make a real difference due to their extra special
quality : a valuable knowledge of Scouting!!
If you would like to participate in one of Scoutings great
activities and have a few hours to spare on a regular basis, please
contact us for further information.

The Heritage Centre is located at Como Ave, South Yarra. Our Workshop
and Office is at Hawker St, Ivanhoe.

Branch Commissioner - Heritage :
Responsibility:
The Branch Commissioner - Heritage is responsible to the Management Committee with
communication responsibility to the Assistant Chief Commissioner.
Duties:
Liaise with the Assistant Chief Commissioner or his nominee for the following ...
Chair SHV General Committee meetings
Make annual applications for Good Service Awards for those
members of the Heritage Team warranting recognition
As required, make applications for Long Service Awards
for members of the Heritage Team
Prepare submissions as may be required for external awards
and/or honours for volunteer staff as available
Set up and managing a formal “succession planning program” for SHV
Support Disaster Teams as may be required
To represent SHV at functions where required
Assist SHV teams as may be required
Attend all appropriate meetings (ie: Branch special activity
meetings as requested by the Assistant Chief Commissioner
Chair annual report meetings
Management Committee :
The Management Committee will comprise of the following, appointed by the Branch
Commissioner – Heritage (BC – H)
Secretary, Treasurer, Collections Manager, Museum Manager and the
Administration Manager
The following duties are to be undertaken by the Management Committee members, in addition
to their own individually listed duties:
To assist or represent the BC - H as may be required
Be available for training courses in order to further one’s knowledge of all aspects of
collection and/or museum processes and procedures
Assist with cataloguing entry preparation, as time permits
Assist with the numbering system of all artefacts
Attend general meetings and participate in its operation
Attend all appropriate meetings (ie: Branch Annual Report Meetings, Disaster Team)
as time permits
Attend and assist as required at the SHV Annual Report Meeting
Assist, as required, with Good Service Award Presentations – Group, District, Region
and Branch functions
Form part of the Disaster Team A or B as is required in the case of disaster
Create and encourage co-operation between all members of the Heritage team
Secretary :
Responsibility:
The Secretary is responsible to the SHV Management Committee for the
performance of duties set out below and any further which may be required
from time to time.
Duties:
Convene all General Committee meetings, advising all Committee
members of time, place, date and the agenda items
Prepare copies of relevant documents for presentation at meetings
Prepare and distribute to members the minutes of the previous meeting
as soon as practicable after that meeting
Arrange the meeting room, with regard to seating, refreshments etc
Record the names of those present at meetings and advise/note any
apologies
Advise the Branch Commissioner - Heritage on rules, procedures and/or
protocol as may be required
Deal with all incoming and outgoing correspondence
This position will be appointed/reappointed at each annual report meeting.
Treasurer :
Responsibility:
The Treasurer is responsible to the SHV Management Committee for the
performance of duties set out below and any further which may be required
from time to time.
Duties:
Handle the financial affairs of the SHV
Collect and bank all monies received
Pay all invoices received when approved by the Management Committee
except for normal, everyday accounts (ie: telephone, gas, electricity, etc)
Maintain accurate account keeping records for SHV
Prepare a financial statement for each General Committee meeting
Prepare the financial records for audit at the close of the financial year
Prepare and present the annual financial report for the annual report
meeting of SHV
Liaise with the auditor for performance enhancement of financial process
After consultation with the Management Committee, prepare a draft
annual budget for SHV
Maintain a current investment portfolio
Seek out best return investment strategies and confer with the
management committee prior to action
Prepare appropriate documents and apply for GST returns from Branch
Finance Section
This position is to be appointed/reappointed at each annual report meeting.
Collections Manager :
The Collections Manager will report to the Management Committee for the following duties.
Duties:
To encourage learning within his/her team
To professionally manage the complexities of the “collections team”
To create professional collection teams to view, sort and receive Scouting memorabilia
To create and manage the SHV quarantine area and associated processes
Introduce the appropriate cataloguing and recording systems
To undertake the appropriate level of research where necessary
Assist with the development of marketing material for SHV
To manage the SHV library
Undertake searches when requested
Have the ability to create “sub committees” when deemed necessary
Museum Manager :
The Museum Manager will report to the Management Committee for the following duties.
Duties:
To professionally manage the complexities of the “museum team”
Be responsible for setting up and maintaining professional displays of Scouting History
Develop a professional museum “Accreditation” sub-committee
Oversee the visitor bookings to the museum (normally maintained by SHV booking secretary)
Maintain a professional team of tour guides
Manage the sales of all SHV merchandise
Have the ability to mount mobile and easily transportable displays
Assist with the development of marketing material for SHV
Have the ability to create “sub committees” when deemed necessary
Develop a program for establishing oral histories
Administration Manager :
The Administration Manager will report to the Management Committee for the following duties.
Duties:
To professionally manage the complexities of the “museum team”
Develop a successful team to apply for grants and any other form of funding
Develop and manage an up to date website
Assist in the development and maintenance of a “succession planning” program
Assist in developing a successful recruitment program
Develop a risk management program for SHV
Manage the SHV disaster management plan
Through the public relations and editorial coordinators produce up to date information for
publication in Scout Magazine and e-newsletters each month
Assist with the development of marketing material for SHV
Have the ability to create “sub committees” when deemed necessary
Be responsible for building maintenance, housekeeping and security for SHV

please contact us.We will pack and sort for you. We have the knowladge
- Save our Scout Heritage for tomorrows Scouts.
Our Committee is charged with the responsibility of collecting, storing
and preserving all Scouting items in Victoria. It is pleasing to receive
more pieces of the giant jigsaw puzzle of Scouting history.
